Privacy Policy
This Privacy Policy explains how TaoBot Attendance (“TaoBot,” “we,” “us,” or “our”) collects, uses, shares, retains, and otherwise processes personal information when you visit our website, add the TaoBot Zoom app, use TaoBot in a Zoom meeting, connect optional calendar or Slack integrations, buy a plan, or contact support.
Plain-language summary
TaoBot is designed for meeting readiness, not meeting surveillance. TaoBot helps a host or co-host understand who was expected, who is present, who is excused, who may still need a reminder, and what meeting-readiness state should be shown in the Zoom sidebar.
- TaoBot does not record meeting audio or video.
- TaoBot does not create meeting transcripts.
- TaoBot does not store private calendar event descriptions or full meeting content.
- Attendance history is controlled by the user or workspace settings and can be configured to save nothing, numbers only, or names plus numbers.
- Calendar and Slack integrations are optional and can be disconnected.
Personal information we process
Account and identity data
We process information such as name, email address, Zoom user/account identifiers, workspace membership, plan and seat status, authentication session metadata, and integration connection state.
Zoom meeting readiness data
When you use TaoBot in Zoom, we may process meeting identifiers, meeting role context, host/co-host status, expected attendee names or email addresses, participant display names, attendance states, manual check-in changes, suggestion decisions, reminder actions, and app diagnostics needed to make the Zoom sidebar work.
Calendar fallback data
If you connect Google Calendar or Microsoft Calendar, TaoBot may process calendar metadata needed to identify expected attendees for a meeting, such as invitee names, email addresses, RSVP status, optional/required status, meeting time, and meeting linkage. TaoBot is not designed to store calendar descriptions, private notes, or unrelated calendar content.
Slack reminder data
If you connect Slack, TaoBot may process Slack workspace, user, channel, and token data needed to send reminders you request or that your workspace settings permit.
Billing, support, and website data
We may process plan, checkout, subscription, invoice, support request, browser, device, log, and security event data. Payment processing may be handled by a payment processor such as Stripe.
How we use personal information
We use personal information to provide and secure TaoBot, including to authorize access through Zoom OAuth, show meeting readiness in the Zoom sidebar, calculate expected and present attendees, support manual corrections, send requested reminders or updates, maintain account and workspace settings, process billing, troubleshoot problems, prevent abuse, comply with law, and improve reliability.
Retention and deletion
We retain personal information only as long as needed for the purposes described in this policy, for legal or security requirements, or according to your account and workspace settings. Attendance history is configurable. Users and workspace administrators can disconnect integrations, change history settings, or request deletion through support.
Security
We use administrative, technical, and organizational safeguards designed to protect personal information. These safeguards include HTTPS, restricted secrets handling, OAuth token protection, access controls, and operational monitoring. No internet service can guarantee absolute security.
Your privacy rights and how to exercise them
Depending on where you live, you may have rights to access, correct, delete, export, restrict, or object to processing of your personal information. You may also have the right to withdraw consent or appeal a privacy decision. To exercise these rights, contact us at privacy@taobot.work or use the support page. We may ask for information needed to verify your identity and process your request.
California, EEA, UK, Swiss, and other privacy laws may provide additional rights. TaoBot will not discriminate against you for exercising privacy rights.
Children
TaoBot is not directed to children under 13 and is intended for workplace and professional meeting use.
Changes to this policy
We may update this Privacy Policy from time to time. The effective date above identifies the latest version.
